NexCT is a technology platform only. We provide software services that enable Clients to search, compare, and make bookings with third-party travel suppliers.

• Responsible Party: The Client's organization (the end-user customer of the TMC/Affiliate Partner).
• Operator: Your TMC/Affiliate Partner, who manages your account and contractual relationship with you.
• Processor: NexCT is the data processor. We process your personal information strictly on the instructions of your TMC/Affiliate Partner and in accordance with our Master Services Agreement (MSA) with them and this Privacy Policy.

By accessing or using the NexCT Platform, you acknowledge that you have read, understood, and agreed to be bound by the terms of this Privacy Policy. If you do not agree with this policy, you must not use the Platform.

We collect information necessary to provide the corporate travel booking and management services to you via your TMC/Affiliate Partner.

3.1 Information Provided by You or Your TMC

This information is collected when your account is set up, when you use the Platform to book travel, or when you otherwise interact with the service:

• Personal Identification Information: Name, surname, company name, and passport/identity document details.
• Contact Information: email address, mobile number, and work number.
• Financial Information: Payment details, bank account(s), and credit card number(s) (processed through your TMC/payment processors).
• Booking and Travel Information: Details for flight, hotel, and car reservations, travel preferences, profile management details, visa details, and special requirements (meals, seating, accessibility needs).

3.2 Usage Information (Collection on Use)

We automatically receive and record Internet usage information from your browser when you interact with the Platform. This is used to improve the services:

• Technical Data: Internet Protocol address (IP address), version of software installed, system type, screen resolutions, colour capabilities, plug-ins, and language settings.
• Browsing Data: Browsing habits, click patterns, the content and pages you access on the Platform, and the dates and times you visit the Platform.

3.3 Cookies and Tracking Tools

We may use Cookies (small text files) and Tracking Tools to collect usage information and enhance your customer experience.

• Function: Cookies are used to improve the website and for purposes like targeted advertising on third-party sites (e.g., Google AdWords, Facebook, LinkedIn) via services like Google Analytics.
• Control: You can manage your cookie preferences directly through your browser settings or opt-out of Google Analytics by downloading and installing the Google Analytics Opt-out Browser Add-on.

NexCT uses your personal information primarily to provide and maintain the Platform services, as directed by your TMC/Affiliate Partner, including to:

• Facilitate Bookings: To process and manage your reservations with third-party suppliers (airlines, hotels, etc.).
• Communicate: To send administrative messages and updates regarding the Platform or your travel.
• Targeted Content: To display targeted advertisements and relevant information while you are logged in.
• Service Improvement: To monitor website usage metrics and compile anonymous information about our website to improve our services.
• Security: To protect the safety of any individual or the general public and to prevent violations of our service terms.
• Legal Compliance: To comply with legal and regulatory requirements.

We may share your personal information in the following circumstances:

• Third-Party Suppliers: With the airlines, hotels, car rental companies, and other third-party suppliers necessary to fulfil your booking and contract the travel services.
• TMC/Affiliate Partner: With your TMC/Affiliate Partner, who is your primary service provider and manager of your account.
• Payment Processors: With banking partners or payment processors as required to manage payment arrangements.
• Service Providers: With our service providers under contract who assist with business operations (e.g., fraud prevention, marketing, technology services). These service providers are contracted to only use your information in connection with the services they perform for us.
• Legal/Governmental Authorities: When required by law, governmental audit, subpoena, or court order, or to law enforcement.
• Change of Ownership: In the event of a change in ownership, merger, or sale of assets, in which case we may transfer the personal information to a successor entity.

We endeavour to protect your information and implement reasonable security measures. These measures include:

• Computer safeguards such as firewalls and data encryption.
• Hosting the website in a secure server environment with a firewall and advanced security measures.
• Authorizing access to personal information only for employees who require it to fulfil their job responsibilities.

Your Responsibility: You are responsible for keeping your login credentials secure and notifying your TMC/Affiliate Partner of any unauthorized access.

The Platform services may require the transfer of your personal information outside of South Africa to a foreign country.

• Acknowledgment: The laws in the foreign country protecting personal information may not be as stringent as those in South Africa.
• Consent: Your access and use of the Platform is deemed consent to us processing your personal information in a foreign country whose laws regarding processing of personal information may be less stringent.

Under the Protection of Personal Information Act (POPIA), you have rights regarding your personal information. You may:

• Access your personal information.
• Request correction of inaccurate data.
• Object to processing in certain circumstances.
• Request deletion of data (subject to legal requirements).
• Opt-out of promotional messages via the unsubscribe link in any marketing email.
